Google Sheets is an online spreadsheet app that lets you create and format spreadsheets and work with other people.

Google Sheets is a spreadsheet application included as part of the free, web-based Google Docs Editors suite offered by Google. Google Sheets is available as a web application; a mobile app for: Android, iOS, and as a desktop application on Google's ChromeOS. The app is compatible with Microsoft Excel file formats.[2] The app allows users to create and edit files online while collaborating with other users in real-time. Edits are tracked by which user made them, along with a revision history. Where an editor is making changes is highlighted with an editor-specific color and cursor. A permissions system regulates what users can do. Updates have introduced features that use machine learning, including "Explore", which offers answers based on natural language questions in the spreadsheet. Sheets is one of the services provided by Google that also includes Google Docs, Google Slides, Google Drawings, Google Forms, Google Sites and Google Keep.

History[edit]

Google Sheets originated from XL2Web, a web-based spreadsheet application developed by 2Web Technologies, founded by Jonathan Rochelle and Farzad "Fuzzy" Khosrowshahi.[3] XL2Web was acquired by Google in 2006[4] and turned into Google Labs Spreadsheets. It was launched as a test for a limited number of users, on a first-come, first-served basis on June 6, 2006.[5][6] The limited test was later replaced with a beta version available to all Google Account holders, around the same time as an official announcement press release was issued.[7] In March 2010, Google acquired the online document collaboration company DocVerse. DocVerse allowed multiple-user online collaboration on Excel-compatible documents as well as other Microsoft Office formats such as Microsoft Word and Microsoft PowerPoint.[8] Improvements based on DocVerse were announced and deployed in April 2010.[9] In June 2012, Google acquired Quickoffice, a freeware proprietary productivity suite for mobile devices.[10] In October 2012, Google Spreadsheets was renamed Google Sheets and a Google Chrome app was released that provided shortcuts to Sheets on Chrome's new tab page.[11]

Platforms[edit]

Google Sheets is available as a web application supported on: Google Chrome, Microsoft Edge, Firefox, and Safari web browsers.[12] Users can access all spreadsheets, among other files, collectively through the Google Drive website. In June 2014, Google rolled out a dedicated website homepage for Sheets that contain only files created with Sheets.[13] In 2014, Google launched a dedicated mobile app for Sheets on the Android and iOS mobile operating systems.[14][15][16] In 2015, the mobile website for Sheets was updated with a "simpler, more uniform" interface. While users can read spreadsheets through the mobile websites, users trying to edit will be redirected towards the mobile app to eliminate editing on the mobile web.[17]

Collaboration and revision history[edit]

Google Sheets serves as a collaborative tool for cooperative editing of spreadsheets in real time. Documents can be shared, opened, and edited by multiple users simultaneously and users can see character-by-character changes as other collaborators make edits. Changes are automatically saved to Google's servers and a revision history is automatically kept so past edits may be viewed and reverted to.[19] An editor's current position is represented with an editor-specific color/cursor, so if another editor happens to be viewing that part of the document they can see edits as they occur. A sidebar chat functionality allows collaborators to discuss edits. The revision history allows users to see the additions made to a document, with each author distinguished by color. Only adjacent revisions can be compared and users cannot control how frequently revisions are saved. Files can be exported to a user's local computer in a variety of formats such as PDF and Office Open XML.[20] Sheets supports tagging for archival and organizational purposes.

Explore[edit]

Launched for the entire Drive suite in September 2016, "Explore" enables additional functionality through machine learning.[21][22][23] In Google Sheets, Explore enables users to ask questions, such as "How many units were sold on Black Friday?" and Explore will return the answer, without requiring formula knowledge from the user. In June 2017, Google expanded the Explore feature in Google Sheets to automatically build charts and visualize data[24][25] and again expanded it in December to feature machine learning capable of automatically creating pivot tables.[26][27] In October 2016, Google announced the addition of "Action items" to Sheets. If a user assigns a task within a Sheet, the service will intelligently assign that action to the designated user. Google states this will make it easier for other collaborators to visualize who is responsible for a task. When a user visits Google Drive or Sheets, any files containing tasks assigned to them will be highlighted with a badge.[28] In March 2014, Google introduced add-ons; new tools from third-party developers that add more features for Google Sheets.[29]

Offline editing[edit]

To view and edit spreadsheets offline on a computer, users need to be using the Chromium-based web browser (e.g., Google Chrome, Microsoft Edge). A Chrome extension, Google Docs Offline, allows users to enable offline support for Sheets and other Drive suite files on the Google Drive website.[30] The Android and iOS apps natively support offline editing.[31][32]

Supported file formats and limits[edit]

Files in the following formats can be viewed and converted to the Sheets format: .xls (if newer than Microsoft Office 95), .xlsx, .xlsm, .xlt, .xltx, .xltm .ods, .csv, .tsv, .txt and .tab[33] Overall document size is capped at 10 million cells.[34][35]

Google Workspace[edit]

The Sheets app and the rest of the Google Docs Editors suite are free to use for individuals, but Sheets is also available as part of the business-centered Google Workspace (formerly G Suite) service by Google, which is a monthly subscription that enables additional business-focused functionality.[36]

Integration with Charts and Wikipedia[edit]

Sheets can produce Google Charts[37] and has a third-party plugin which allows for integration with Wikipedia.[38]

Other functionality[edit]

A simple find and replace tool is available. The service includes a web clipboard tool that allows users to copy and paste content between Google Sheets and Google Docs, Google Slides, and Google Drawings. The web clipboard can also be used for copying and pasting content between different computers. Copied items are stored on Google's servers for up to 30 days.[39]

Google offers an extension for the Google Chrome web browser called Office editing for Docs, Sheets and Slides that enables users to view and edit Microsoft Excel documents on Google Chrome, via the Google Sheets app. The extension can be used for opening Excel files stored on the computer using Chrome, as well as for opening files encountered on the web (in the form of email attachments, web search results, etc.) without having to download them. The extension is installed on ChromeOS by default.[40] As of June 2019, this extension is no longer required since the functionality exists natively.[41]

Google Cloud Connect was a plug-in for Microsoft Office 2003, 2007, and 2010 that could automatically store and synchronize any Excel document to Google Sheets (before the introduction of Drive). The online copy was automatically updated each time the Microsoft Excel document was saved. Microsoft Excel documents could be edited offline and synchronized later when online. Google Cloud Connect maintained previous Microsoft Excel document versions and allowed multiple users to collaborate by working on the same document at the same time.[42][43] However, Google Cloud Connect has been discontinued as of April 30, 2013, as, according to Google, Google Drive achieves all of the above tasks, "with better results".[44]

While Microsoft Excel maintains the 1900 Leap year bug, Google sheets 'fixes' this bug by increasing all dates before March 1, 1900, so entering "0" and formatting it as a date returns December 30, 1899. On the other hand. Excel interprets "0" as meaning December 31, 1899, which is formatted to read January 0, 1900.

Launched in December 2022, Simple ML is the Google's add-on for machine learning.[45]

Work with your data

Copy formatting from any text and apply it to another selection of text

Format data as currency, a percentage, change decimal places, and more

Add or edit cell borders

Merge cells

Change text alignment

Change how text wraps or rotate text

Add links, comments, charts, filters, or functions

Note: To improve compatibility with Microsoft Excel keyboard shortcuts, you can override browser shortcuts.

Add rows, columns, or cells

Add rows, columns, and cells:

Select the row, column, or cell near where you want to add your new entry.

Right-click the highlighted row, column, or cellInsertchoose where to insert the new entry.

Delete, clear, or hide rows and columns:

Right-click the row number or column letter.

Click Delete, Clear, or Hide.

Delete cells:

Select the cells.

Right-clickDelete cellsShift left or Shift up.

Move rows or columns: Select the row number or column letter and drag it to a new location.

Move cells:

Select the cells.

Point your cursor to the top of the selected cells until a hand appears.

Drag the cells to a new location.

Group rows or columns:

Select the rows or columns. 

Click DataGroup rows or Group columns.

Freeze header rows and columns: Keep a row or column in the same place as you scroll through your spreadsheet. On the menu bar, click ViewFreeze and choose an option.

Share your spreadsheet

Click Share and choose what collaborators can do. They'll get an email notification, too.

Copy, email, or publish your spreadsheet

Make a copy—Create a duplicate of your spreadsheet. This is a great way to create templates.

Download as—Download your spreadsheet in other formats, such as Excel or PDF.

Email as attachment—Email a copy of your spreadsheet.

Version history—See all the changes you and others have made to the spreadsheet or revert to earlier versions.

Publish to the web—Publish a copy of your spreadsheet as a webpage or embed your spreadsheet in a website.

Work with functions

Your most important Excel functions exist in Sheets, too. Here’s a few of the things you can do.

AVERAGE

Statistical   Returns the numerical average value in a dataset, ignoring text.

AVERAGEIFS

Statistical  Returns the average of a range that depends upon multiple criteria.

CHOOSE

Lookup  Returns an element from a list of choices based on index.

COUNT

Statistical  Returns the count of the number of numeric values in a dataset.

COUNTIF

Statistical  Returns a conditional count across a range.

DATE

Date  Converts a provided year, month, and day into a date.

FIND

Text  Returns the position at which a string is first found within text.

GETPIVOTDATA

Text  Extracts an aggregated value from a pivot table that corresponds to the specified row and column headings.

IF

Logical  Returns one value if a logical expression is true and another if it is false.

INDEX

Lookup  Returns the content of a cell, specified by row and column offset.

INT

Math  Rounds a number down to the nearest integer that’s less than or equal to it.

LOOKUP

Lookup  Looks through a row or column for a key and returns the value of the cell in a result range located in the same position as the search row or column.

MATCH

Lookup  Returns the relative position of an item in a range that matches a specified value.

MAX

Statistical  Returns the maximum value in a numeric dataset.

MIN

Statistical  Returns the minimum value in a numeric dataset.

NOW

Date  Returns the current date and time as a date value.

ROUND

Math  Rounds a number to a certain number of decimal places according to standard rules.

SUM

Math  Returns the sum of a series of numbers and/or cells.

SUMIF

Math  Returns a conditional sum across a range.

TODAY

Date  Returns the current date as a date value.

VLOOKUP

Lookup  Searches down the first column of a range for a key and returns the value of a specified cell in the row found.

An Amazing App

Love, love, love this app!!! It is amazing and dependable. I like that its offline and I can use it whereever I am, even when traveling. I use it for our family budget and to pay of large bills and credit cards. It allow me to adjust the payment amounts when I want to pay a bill off early. I list my dates by each payment and I can see exactly when I'll have a bill paid off. It's been a real asset to our family. I don't have to worry about my data being locked up until I buy or update the subscription like what happened with another app, because its free. It was such an inconvenience. But this app has proven its value time and time again. I also like how I can plug in my formulas to show the interest rate and declining balance of my credit cards. I highly recommend to everyone to use it. My sincerest thanks to the maker of this exceptional app!!!

Google Sheets for IPad - Fundamentally Flawed

Google Sheets and other programs like it are flexible, able to be used for multiple purpose across many different fields. As such Google Sheets for IPAD may work fine for you but for my job and how I use it I spend more time hitting roadblocks and having to open my computer to accomplish tasks than I should. It leads to the essential question of why even have an app if it will be missing so many core features and have many more that are broken or flawed. The most recent examples include freezing vertical columns doing the opposite of the intended function, the complete lack of in cell text formatting, the lack of advanced sorting features and the inability to open two windows of google sheets at the same time. These are just the broken or missing features that have interrupted my workflow today, I am sure that more will occur in the future. With an app this unfinished I would look to Excel or Apple’s Numbers as alternatives if my work didn’t rely on GSuite for the sharing functionality. If the only reason a user continues to use an app is being locked into the ecosystem, it is not a good app. If you are able avoid Google Sheets and all other Google apps to avoid getting trapped in their ecosystem, especially if you plan to try and use your IPAD as a main work device.

Unable to Edit Shared Sheets

I try to go as mobile as possible, because opening up a computer all the time sometimes is just too much of a hassle or takes way too much time for something that should be done so quickly, such as signing up for a meeting time. Whenever I try to edit a spreadsheet for something like signing up, there’s always an annoying pop-up that says I need to download the app in order to edit at all. And even when I already have it downloaded, I still have to press the only “accept” button on that pop-up, which says “get the app”. It takes me back to the app store, where I then have to press “open”, and opens up to the Google Sheets app, but the sheets I would be trying to edit wouldn’t automatically come up. Checking the “Shared with Me” tab doesn’t do anything, trying the process over again doesn’t do anything, and nor does completely closing the App Store or Google Sheets app then starting the process over again do anything. This practically makes the Sheets app useless for me, because this is pretty much the only reason I need it. When using Sheets, I’m usually just trying to open someone else’s Sheets page, which they linked somewhere, and edit it rather than creating one myself.
